Project Coordinator — Project Management Office
Industry: Financial Services Level: Entry-Level (1–3 years experience)
Position Summary
We are seeking a detail-oriented Project Coordinator to join the Project Management Office of an established financial services organization. This entry-level role provides foundational coordination support across a portfolio of digital enablement and technology initiatives, working alongside experienced project managers to ensure consistent execution standards across multiple concurrent engagements.
The Project Coordinator is responsible for organizing and maintaining project artifacts, scheduling activities, tracking deliverables, and serving as a central point of coordination between project teams, stakeholders, and leadership. This is an ideal opportunity for someone early in their career who is eager to build a foundation in project management methodologies and grow into more advanced PM roles over time.
The right candidate brings strong organizational instincts, meticulous attention to detail, advanced Microsoft Office proficiency, and genuine curiosity about the discipline of project management.
Key Responsibilities
Project Coordination & Documentation
- Support multiple project managers by maintaining artifacts, schedules, and documentation across 5–10 concurrent projects
- Maintain centralized project repositories in SharePoint, ensuring proper organization and version control
- Help maintain PMO standards by ensuring adherence to established templates, naming conventions, and documentation requirements
- Organize and archive project materials upon completion, supporting knowledge transfer and lessons learned
Schedule & Workplan Management
- Maintain project workplans in SmartSheet, Microsoft Project, and/or Planner by updating task status, timelines, and resource assignments
- Track deliverables, milestones, and dependencies to ensure nothing falls through the cracks
- Monitor task completion and send proactive reminders regarding upcoming deadlines
Meeting & Communication Support
- Schedule and coordinate project meetings, prepare agendas, distribute materials, and document minutes and action items
- Facilitate information flow between project managers, stakeholders, and team members
- Prepare routine status reports, dashboards, and executive summaries
Risk, Issue & Change Tracking
- Document risks and issues raised in project meetings and follow up on resolution
- Support change request processes by capturing requested changes and tracking approvals through workflow
Vendor & Stakeholder Coordination
- Coordinate with vendors and third parties on scheduling, deliverable submissions, and documentation
- Assist with onboarding new project team members by providing access to materials and orienting them to project status
PMO Continuous Improvement
- Participate in PMO improvement initiatives by identifying opportunities to streamline processes, tools, and templates
- All other duties as assigned
Required Qualifications
- Bachelor's degree (required)
- 1–3 years of experience in project coordination, business analysis, or related project support roles
- Advanced proficiency with Microsoft Office, particularly Excel (formulas, pivot tables, data analysis), PowerPoint, and Word
- Excellent written and verbal communication skills with the ability to interact professionally across all organizational levels
- Strong organizational skills with the ability to track complex information across multiple workstreams
- Demonstrated ability to manage competing priorities while maintaining accuracy and attention to detail
- Self-motivated, curious learner with interest in project management methodologies and best practices
- Comfortable working both independently and collaboratively
- Ability to maintain confidentiality and handle sensitive information appropriately
Preferred Qualifications
- Aspiration to pursue Project Management Professional (PMP) certification
- Experience in banking, financial services, or service-based industries
- Hands-on experience with Microsoft Project, Planner, and/or SmartSheet
- Experience with SharePoint for document management and team collaboration
- Familiarity with Microsoft Teams for collaboration and meeting facilitation
Work Environment
- Primarily office-based with occasional travel to other locations as needed
- Occasional on-call availability for urgent project needs
- Extended periods of computer use and seated work
